Job Description

The Administrative Assistant is responsible for providing administrative support to the PCB Fab Express division and aiding the sales process as needed.

Job Responsibilities

  • Make about 30 outbound calls per day to customers and prospects.
  • Answer calls and provide appropriate information to customer inquiries.
  • Forward calls to the appropriate individual/department/division.
  • Release job orders, send quotes, and follow up to insure a smooth transaction.  
  • Process customer purchase orders along with all other paperwork needed and prepare order confirmations/invoices to send to customers.  
  • Process credit card charges and prepare paperwork for Accounting Department.  
  • Enter and maintain orders/customer data in ProCim database. 
  • Handle customer service issues as directed by the General Manager.
  • Respond/follow-up for customer feedback.
  • Fax, email, or mail correspondence as needed.
  • Prepare reports for the General Manager as needed.Maintain/monitor net zero account payments.
  • Maintain resale certificates and tax procedure.
  • Maintain “To Be Shipped” job list and document all missed shipped jobs. 
  • Send Semi- rejection emails and keep track of all follow ups.
  • Interact with managers, co-workers, customers and etc. in a professional manner.
  • Be punctual and maintain good attendance.
  • Other duties as assigned.

Job Requirements

  • Associates degree in related fields or high school diploma, BS preferred.
  • 2-3 years experience as Administrative Assistant with data entry responsibilities.
  • Ability to type at least 35-45 wpm.
  • Excellent written and verbal sales communication skills.
  • Good computer skills: Microsoft: Word, Excel, PowerPoint and Outlook.
  • Ability to learn new skills and tasks as required, especially order placement software, ProCim and FEMS.
  • Must have a professional demeanor and excellent customer service skills with a sense of urgency.
  • Strong interest in providing excellent customer service and in aiding the sales process.
  • Must be detail-oriented, highly organized, self-motivated, and able to multi-task.
  • Ability to perform at the highest level in a fast-paced environment.
